The Research Facilities Coordinator I assists in the operation of the research facilities at the main campus, north campus and south campus, as assigned. Incumbents in this role aid research groups to address issues relating to building maintenance, environment comfort, office/laboratory design, renovation and staff reassignments. Coordinates lab move-ins and move-outs with researchers and their staff, Cedars-Sinai Safety department, and movers. Reads and designs floor plans to researchers request when preparing a lab renovation. Works with doctors, various contractors, project managers, and architects in walkthroughs, detailing scope of work. Responsible for the transfer, move, disposal, and relocation of various equipment on campus and at the Torrance Warehouse. Renews yearly contracts and places equipment and materials orders; coordinates the temperature monitoring system and implements the emergency freezer program. May assist with A/V requirements in various conference rooms, and provides support to the Security department with quarterly fire drills.

Primary Duties and Responsibilities

  • In coordination with Facilities Planning Design & Construction department, coordinates work of craft workers, contractors and sub-contractors in various institutional projects to ensure all modification projects are built to meet city and other regulatory agency codes. Constructs projects on floor plan software. Tracks project progress from initiation to invoice payment as needed.

  • Responds to user requests for assistance and resolves production conflicts. Performs daily building rounds and reports findings as appropriate. Orders office supplies for the RFO staff and shared copy rooms. Coordinates with the Safety office for the removal of unwanted chemicals from labs. Processes requests for keys and access to the Research Buildings. Notifies employees in Research facilities of any work being done within the building that would adversely impact operations. Submits Kronos in a timely manner.

  • Is present for scheduled power shutdowns such as REG 4 testing, ensures Research equipment has e-power during testing. Provides area support for fire drills, PM services, and emergency conditions.

  • Monitors daily equipment temperature through computer software. Trains users on temperature monitoring software in group sessions and in person. Coordinates EIS yearly system calibration for assigned area.

  • Responds to freezer/equipment failures by checking temperatures on system software and physical inspection of failed equipment. Offers users emergency freezer to transfer samples in an emergency. Contacts vendors to assess freezer issues. Forwards users quote for freezer repairs. Maintains the emergency freezers for emergent availability. Coordinates the preventive maintenance of freezers and incubators.

  • Coordinates requests for equipment disposal, relocation and storage. Updates inventory control for newly established laboratories and/or laboratory close-out to reconcile inventory system and NIH guidelines compliance.

  • Renews Purchase Orders and yearly contracts for repairs, preventative maintenance, and services with vendors (as applicable). Orders facilities equipment/supplies.

  • Maintains the highest quality standards for compliance with regulatory agencies such as the Association for Assessment and Accreditation of Laboratory Animal Care (AAALAC) International for comparative medicine and National Institute of Health (NIH) standards for all research core laboratories.

  • Provides ongoing updates on projects and daily operations of buildings. Documents client needs and issues, and provides recommendations / suggestions for solutions. Prioritizes daily tasks for assigned building(s). Maintains an ongoing communication, and coordination, with key support departments and their management (EVS Housekeeping, Facilities Management, Facilities Planning Design & Construction, Clinical Engineering Department).

  • Provides financial information to RFO Associate Director by collecting existing and summarizing financial data.

  • Provides emergent frozen sample transfer in the event of a freezer failure, loss of bulk LN2 supply or extended power outage in the Biobank, as applicable.

Qualifications

Education:

High School Diploma/GED Required

Vocational/Technical Diploma or Trade School Certification in Craft Discipline Preferred

Associate degree in Construction Management, Project Management or Facility Operations Preferred

Licenses:

Building Operator Certification Level I - Within 1 year of hire required

HVAC certification - Within 2 years of hire preferred

Experience:

1 year Related research wet laboratory or similar experience required

1 year Experience with floorplan software design preferred

1 year Experience in communications, public contact, bookkeeping, business machines and correspondence preferred.
