Robert Half Administrative Assistant in Houston, Texas

Description We are seeking an Administrative Assistant for a contract to hire employment opportunity in Houston, Texas. The role is centered on supporting the team by managing calendars, assisting with invoicing and payroll, performing data entry tasks, and providing excellent client-facing customer service. The industry requires a thorough understanding of administrative procedures and the ability to use various software such as MS Office.

Responsibilities:

• Handle calendar management effectively, ensuring all appointments and meetings are scheduled and rescheduled as necessary.

• Assist with invoicing and payroll, ensuring accuracy and timeliness of all financial documents.

• Perform data entry tasks accurately, maintaining the integrity of the data within the system.

• Provide high-quality, client-facing customer service, addressing and resolving client inquiries and issues.

• Use MS Office suite proficiently, particularly Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word.

• Answer inbound calls promptly and professionally, providing information and transferring calls as necessary.

• Engage in both inbound and outbound calls, maintaining professionalism and efficiency.

• Schedule appointments, managing the team's schedule to avoid any conflicts or double-bookings.

• Handle email correspondence, responding to emails in a timely and professional manner.

• Utilize software such as QuickBooks, although it's not a requirement, it would be a plus. Requirements • Proficiency in utilizing Microsoft Office Suite including Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word

• Experience in answering inbound and outbound calls professionally and efficiently

• Excellent customer service skills, with the ability to handle queries and complaints in a calm and courteous manner

• Strong data entry skills with a keen attention to detail and accuracy

• Ability to handle email correspondence in a professional and timely manner

• Proven ability to schedule appointments, manage calendars, and coordinate meetings

• Excellent interpersonal, verbal, and written communication skills

• Ability to work independently and as part of a team

• Strong organizational and multitasking skills

• Ability to maintain confidentiality and handle sensitive information with discretion

• Demonstrable problem-solving skills and initiative

• Willingness to learn and adapt to new technologies and processes.
