What you will do

In this job you are responsible to drive financial control and assist in various tasks in the operational delivery of specific real estate activities. As a Property Coordinator you are responsible to provide support through administrative and structural purchasing, invoice operation and financial follow-up. You support with administration in connection with planning, leases and projects. You may also serve as a key-user/expert in one or several real estate specific IT-systems.

Key Responsibilities

  • In dialogue with Volvo’s purchasing function, to actively support the Property Managers in the purchasing process (in order to avoid incorrect invoices, etc.) of orders and invoices that is related to GRE, regarding daily operations and specific projects, including coordination of asset management with local team.

  • Support local process regarding internal and external lease facility contracts including securing contracts when new/changed tenant.

  • Administrative support related to space optimization for offices including moves and furniture coordination.

  • Support the divisional/regional/functional Business Control with tasks related to financial follow-up.

  • Manage all facility management services suppliers to determine equipment needs, service performance, contract management, compliance requirements, campus coordination, etc.

  • Create financial plans, budgets and forecasts for the local organizations.

  • Provide financial analysis to management that will maximize decision support.

  • Develop reports and usage of financial systems such as SAP, EBD, and Microsoft Office for forecasting and analysis.

  • Prepare monthly closing activities and analysis.

  • Serve as a liaison providing support to Accounting and Company Control (ACC).

Who are you?

Professional Levels

Property Coordinator on Professional level applies practical knowledge typically obtained through education and work experience (position typically requires 2 to 5 years relevant experience).

May require the following proficiency:

  • Works independently with general supervision.

  • Problems faced are difficult but typically not complex.

  • May influence others within the job area through explanation of facts, policies and practices.

Skills

  • Financial knowledge within the areas of cost management, procurement, accounting and financial follow-up.

  • Ability to understand technical issues.

  • Fully proficient IT skills.

  • Good skills in English, written and spoken.

  • Knowledge of real estate and facility management.

  • Knowledge of contract management.

  • Analytical and organizational ability to interpret facts and figures, to project present and future service needs and related costs.

  • Proficiency in MS Office applications, including Excel, Power BI and PowerPoint.

  • Proficiency in SAP a plus.

Minimum Education and Experience

  • BS Degree in Accounting or Finance, or equivalent experience required.
