Position Summary:

In the Research and Economic Development (https://www.buffalo.edu/research.html) department the Executive Assistant primarily supports the Assistant Vice President for Administration and Planning/Chief of Staff on a broad range of tasks and responsibilities that help facilitate the operations of the Vice President’s Office. While primarily supporting the Assistant Vice President for Administration and Planning, this position also assists in duality supporting other senior leadership, including the Assistant Vice President for Strategic Growth and the Assistant Vice President for Communications, Marketing & Digital Operations, among others. This energetic and self-directed individual understands how to work in partnership with VPRED leadership to help maximize their effectiveness, as well as with the support team within the office. This person is able to anticipate needs while overseeing office management, day-to-day workflow, providing high level support, and accommodating unexpected requests / projects.

Primary Duties and Responsibilities include, but are not limited to:

  • Maintaining the calendar for the Assistant Vice President for Administration and Planning and ensuring they are prepared for their daily activities.

  • Assisting with a broad range of projects (i.e. data collection, searches, etc.) related to the work of the VPRED office.

  • Scheduling and preparing materials/context for various meetings and special events.

  • Office management, including liaising with various administrative offices, ensuring office supplies are on hand when needed, etc.

  • Work in collaboration with the Executive Assistant to the VPRED to navigate complex meetings, communications, and projects, and acts as a back-up for the Executive Assistant.

This position requires strong judgment and independent resourcefulness, while handling time-sensitive matters that require concise problem solving and confidentiality. The Executive Assistant must be eager to learn, detail-oriented and comfortable handling multiple assignments in a fast-paced environment. They must be flexible, have strong communication and interpersonal skills, and be comfortable working as part of a team.Strong teamwork and a proactive, collaborative approach are essential for success in this role.

The Executive Assistant will interact with faculty, researchers and university leadership administrative professionals on a daily basis. Therefore, discretion, tact and a knowledge of university etiquette for interacting with faculty and university leadership are essential. The position may require some nontraditional hours of business in order to support the Vice President’s Office activities during special events and office needs.

The Office of the Vice President for Research and Economic Development and its constituent units guide and support the university’s research enterprise as well as its economic development and entrepreneurial activities. Minimum Qualifications:

  • Bachelor’s degree or an equivalent combination of education and experience.

  • Experience in a high-volume office environment.

  • Candidate must have excellent organizational and oral/written communication skills, strong interpersonal, problem-solving and collaboration skills, and the ability to maintain professional standards under demanding time constraints.

  • Proficiency in Google Calendar, MS Outlook, Word, Excel, and PowerPoint is required.

Preferred Qualifications:

Prior knowledge and experience with UB systems and processes and/or experience in position directly supporting an executive director, dean or senior leader is preferred.
